Terms & Conditions

These Terms and Conditions apply to all congress participants and accompanying persons registering for the 64th ERSA Congress and must be accepted upon registration.

The ERSA Organising Committee reserves the right to make amendments to the programme or any related activities at its discretion.

   Congress Registration and Participation

  • The registration fees apply to all participants except invited keynote speakers and guests.
  • Presenting authors must register by 15 June 2025 to have their paper(s) scheduled in the programme.
  • The RSAI member fee is applicable only to members of ERSA sections and members of one of the other RSAI Super Regional Organisations (NARSC, PRSCO, LARCSA).
  • Membership status will be verified. If membership fees are unpaid, participants will be required to pay the difference between the member and non-member fees. Papers will not be accepted until the full fees are paid. For membership details, please contact a regional representative.
Special Fee Eligibility 
The special fee applies to:
  • PhD students under the age of 33 as of 1 September 2025.
  • Participants of ERSA Summer School 2024 and 2025 (students/young researchers attending the lectures).
  • Participants from lower-income countries (with an annual GDP per capita below USD 20,000, according to the latest World Bank figures). The country considered must be your country of residence.
  • Retired faculty members.
Payment and Registration Policy
  • Registration is only confirmed upon receipt of payment. Participants with incomplete payments will not be granted access to the congress.
  • All payments must be made in EURO (€).
  • Liability for registration fees arises at the time of registration. If payment is not received before the event, the registration will be canceled, though the obligation to pay still applies.
  • If you are unable to attend, a substitute colleague may participate in your place, provided written notice is sent to congress@ersa.org.
Accompanying Person Registration
  • The accompanying person fee applies to individuals accompanying a congress participant. However, they will not be permitted to attend the scientific programme.

Methode of Payment

  • Payment can be made by bank transfer or credit card. However, we strongly recommend using a credit card via our secure online registration system.
  • For credit card payments, the card will be charged at the time of the order.
  • For bank transfers, participants are responsible for covering any applicable bank charges.

The enterprise number may be needed by your institution to issue a purchase order.

Once your online registration has been received and the payment has been verified, ERSA will send a receipt to confirm payment.

📌 Important: If your organisation requires a VAT number on the receipt, please ensure that you have filled in the "VAT field" during the registration.

Cancellation Policy

All registration cancellations must be submitted in writing via email to congress@ersa.org.
  • Until 30 June 2025 (24:00 CET): 50% of the registration fee (minus applicable bank charges) will be refunded.
  • Until 15 July 2025 (24:00 CET): 20% of the registration fee (minus applicable bank charges) will be refunded.
  • After 15 July 2025 (24:00 CET): No refunds will be issued.
  • All refunds will be processed within two weeks after the congress ends.
  • Visa-related cancellations: If a delegate is unable to attend due to visa denial, the standard cancellation policy will still apply. 

Force Majeure
ERSA shall not be held responsible for any compensation if the congress is affected by unforeseen circumstances, including but not limited to:

  • Political or economic instability
  • Natural disasters
  • War or terrorism
  • Any other force majeure event that prevents, limits, or alters the congress.

In the unlikely event that ERSA cancels the congress, registration fees will be fully refunded. However, ERSA does not accept liability for pre-booked travel tickets or accommodation costs.
